Hi All,
Here is a summary of the incident plan we discussed.
Please take ownership of your part, execute it, and provide an update in reply within this week. Do not take this lightly guys, lets contain the situation and resolve every aspect urgently. There could be other VA’s that we are not catching as well.
- Steve needs to speak with him so he know we are aware of this. Meeting in office next day.
- If he needs to, he has to do unpaid overtime and make sure he is doing 200 each day.
- No more Pi overtime for Ryan.
- We need a backup person to be trained alongside. As he cannot be trusted anymore that he won't mess again. We are supposed to have this already but we couldn't.
- Get flexi server up and running again properly and seriously
- Ross delegate flexi-server to kukon karim again emphasizing extra seriousness. Explaining this recent incident - there needs to be some kind of systemised reporting on this from Kukon and Karim. Think who else can be involved in this – security people have a lot of time – what sub set of observations can be delegated to this? For example… if a screen looks same for 10 mins or more…
- More cctv monitoring for you Steve, take a second monitor from office if you need for keeping cctv on second screen.
- Ross push kukon to get new cctv cams in place again explaining the severity – this is already on his to do list but pending for many days
- Steve discuss with Ryan client to show our intiative to catch this issue, and show that we are resolving this.
- Daniel make this requirement the highest priority – hire 2 people for EST as replacement. They will be on the bench. Discuss any suitable existing staff with Rob.

2 things we need here to ensure Flexi Server work is correctly done:
1. a list of criteria on what to look for - and we need to ensure karim and kukon understand every point in the criteria.
2. some kind of daily reporting from them to update management on their findings.
Lets hear some suggestions for hte above 2 points please guys.
I have chased Khukon on this and he said this will be installed this Sunday.
We can set a reminder on their computers so they do not miss this on a daily basis.

i noticed Kukon didnt mark off teh CCTV fitting from his TO DO LIST.
also how are we monitoring the flexi server work by kukon and karim? what reporting do we have that we can observe collectively as managers to stay on top of these guys. as we know these guys are quite unstable and overlook their own duties.
i dont expect them to be perfect in their work like us managers, hence why they are on low capability packages - but it means us managers have a duty to oversee them.

Phil has dropped out from doing EST as his wife got sick suddenly. So I think Derek may be the next choice to move to Est. please let me know your further suggestion on this.

Last day i visit office and have a face to face session with Solomon. Actually i was at office to seat down with Ryan. Solomon heard that i will be at office so he came to office to meet me.
He is a bit concern about us assigning backup person. I guess he is filling insecure.
I will talk to him further. For now lets have Allen and Phil start on Monday EST
Both, Allen and Phill agree to start EST from Monday.
Another update: Tim and Derek are now available to work the EST shift. This brings our total to six people available for the EST shift.
Okay, I will assign them as soon as possible, likely starting next week. However, Steve has raised some issues regarding Solomon's replacement.
@Steve, can you please look into this comment and advise us further?
Apologies for not confirming this here, I have already discussed this with Khukon and Karim. The new cameras will be installed this weekend. However, it's not the cameras that we need, both the DVR is troubling. they often freeze, keep restarting after some time, and sometimes don't work. Without the DVR the cameras are useless.
I have also advised them to check the Flexi server for 1-2 hours each day. They will divide all employees into two groups and each of them will do random checks on one group of employees.
We previously used this form to report any suspicious screenshots. Let me know if this looks okay or if we need to make any changes.

im not comfortable with michael from teh beginning. so i cant let him go to EST and be unsupervised.
Allen and Phil seem to be the guys... lets work on moving them over to EST and getting them to train with Ryan and Solomon asap.

Boss, The following members from the PI team are available to participate in EST willingly:
1. Allen
2. Michael
3. Tom
4. Phil
Among them, Allen (the strongest), Michael (the top performer of the PI team so far), and Phil (the semi-tech guy) are the most suitable candidates for the replacement or backup roles for Chalcor at EST.
I am looking forward to hearing from @Ross about them, as they are also from the Confectionary team.
Hi Steve, this all sounds good, it also sounds like Ryan was humble to admit the issues.

Hello Rob,
Today i have visited office and seat down with Ryan. Daniel was also with me. We talked for a long time, around 30 minutes.
He accept all the accusation made against him. We asked him why did didnt work on Work Order for last 2 months. He do not have any answer for that. He admits that he thought client will not review his work and he will get away with it.
He was crying the during the whole meeting :)
We established few things today.
1. he will do 200 work order processing everyday. If it requires more then 8 hours, he will work rxtra hours to complete 200 work order. Extra hours will not count as overtime
2. I asked him how many work orders are there. There are 1670 work order remaining. By doing 200 each day it will take 9-10 working days to finish the back log.
3. We establish a date to complete all pending work orders. he will finish all pending task within 6-7 november.
4. End of his shift he will send me a excel sheet. The sheet will contain Work Order policy numbers. Everyday i will check random work order policy numbers from his excel sheet to see if he actually done that.
5. As his smart phone addiction is one of the reason for his performence, we suggest him to keep his smart phone at security desk when he arrives. He can use his phone during his break time.
6. No more overtime work for him.
7. We made it clear that if we receive a single complain against him, he will be fired immediately.
