HI Steve,
Since ive come to the office ive seen Ted regularly not having much work, or very basic simple work and he seems bored or under-utilised.
Please look into this and balance the workload to Ted equally busy.
When there is no actual tech work to do – you should have a SET OF BACKGROUND tasks for them – id like to know what they will be – ill assgign it on TM for you to stay on top of.
the background task should be maintenance type tasks such as fileserver cleanup, organise, defragment?
switch maintenance, cleaning,
NC server maintenance, cleaning inside outside etc
you think of the list of things that should be done for maintaining our stuff in high performance.
lets work this out.

Most of the tasks are assigned through tickets. We also maintain a spreadsheet to track tasks that requires more then 10-15 minutes to fix.
Unfortunately the frequent task that IT executives performs that is shifting people from 1 place to another is done through IT group chat.This is because shifting task instruction comes from other managers and this happens so frequently that no one maintain any spreadsheet.
During free time IT executives do maintainence work.Cleaning temp,prefetch files from pc, uninstall any unnecessary softwares,clean startup programs,remove unused user accounts,defragment etc. They also do physical cleanup of servers and laptops.
Yes i agree we need to build a sysyem for IT executives.But more importantly managers need to use the system properly.If they keep asking for things to done via chat then no system will work.

calrify for me mate... how are IT execs give tasks that need to get done? where is teh spreadsheet that tracks their assigned task?
and what background ongoing work do they do as part of IT system maintenance when they have no tasks.
we need to formalise this and centalise this. as hte company gets bigger this will become chaotic, so we organise this in a business style already.
advise me on the above and i will use this information to build a simple process to help yuo handle this part with IT execs
