Hey Steve,
a core problem wihin teh company is bench work.
2 parts:
1. people do bench work without any seriousness about result - so need to make it accountable
2. bench people always change - so some tasks get dropped or lost track where to continue.
lets work out some kind of system how we can and control this using software and IT systems. think over it and let me know your initial ideas.
lets finalise this and get a system in place within teh deadline

reassign daniels bench task on TM to oscar.
this is high priority we need to use the new bench system asap.
the BENCH TASK is a replica of the TASK MANAGER - with the extra features that daniel needs which he mentions in his task to scott already.
ALSO - daniel has various googlesheets etc fro work tracking - im not surei this is centralised or all over the place.
e.g. if daniel leaves does anyone know how to gain admin access to all that ?
you need to look into this and centralise all this - e.g. bring any login credntials for google accounts under IT records etc.
so this means, we need a new button on teh TASK detals page called KEY ASSETS.
the assigned staff will add the key assets not the task assigner -ebcasue the assets usually get created after.e.g. logins to websites etc.
so you will need to liaise with Daniel to understand what sort of key assets are generally required for bench tasks. of teh to of my head:
1. links to googlesheets
2. login detils to various websites
3. video tutorials to handover the work to next person
.... theres few more thngs i believe, daniel will have a better idea.

Sounds good. I was looking into trello and some other project management software to see how we can improve this whole process.
1.When HR guy will assign a task to bench people he will inclue all key assets in the description like video links, credentials, spreedsheet links etc.
2.After their shift, bench employee will upload the relevent files and other info related to task update.
3. When a new person will be added, he will be re assigned the same task, he will read all the comments of the task to see the full picture of the task.
hi steve... the biggest difficulty will be CONTINUING where teh last perosn left off.
keeping track of this in a simple way and being able to continue in a simple way with a new bench staff.
what you are describing here is basically a group task - a task assigned to multiple people.
but again it will get ocnfusing to have a new person continue replacing the work when one person leaves.
i think we can make some small teaks on our TM system to solve this problm, rather than spend time exloring trello etc.of course you can explore them to learn how they do things for ideas.
for example in TM:
1. HR can assign same task to multiple bench people - their own tasks copy
2. when new person joins the task gets reassigned.
3. but this means replacing person needs to know the KEY ASSETS for the task - e.g. websites/login details etc to conitinue
4. the replacing person needs to know to see the last output from the previous person to contimue from same place - i think that can be solved using spreadsheets where bench work usually requires logging the work on spreadsheet

Over the weekend i though about it a lot. Have you ever use Trello? I think Trello like system will be perfect for tracking bench work.
In trello you can have different boards under 1 deshboard. There can be 1 board for each bench task. And you can add multiple people to a specific board. Suppose we have 4 bench tasks. So we will have 4 boards and we can add multiple employee to a board where they will update their works at the end of the his shift. And as all boards will be under 1 mail deshboard, so Daniel or any HR guy can just go to that main deshboard and see all task boards.
I have to talk to Oscar is this can be done in our WM easily, if not we can use Trello for this .

We can assign a same task to multiple people. Suppose Sammy and Milton working on Ebay listing task in different shifts. So we will add both of them to the task. Suppose Sammy on BDT shift. After his shift he will update on TM with updated file. Milton in on GMT shift, so he will just start from where Sammy left off.
And suppose after few days Sammy is not woring on the task anymore. We will simply remove Sammy from the Task. And if we assign another person to the task, then we will simply add him to the task.

actually you do make a point there that the TM will allow to keep track/progress of a bench task easily no matter who it is RE-ASSIGNED TO.
BUT... what if there are 4 bench people?
- now the ideal would be toe create an WM accoutn called BENCH
- in this account are all teh bench tasks with ongoing updates from users.
-> BUT... it wouldnt help keeping track of the updates/latest if more than 1 person working on teh same task. e.g ebay data collection tehre could be multiple people working on it. at different shifts.
so we need to think about "how do we make tihs latst progress/status update' clear and transparent.
REgarding seriousness - its not a matter of supervision, thats not what i meant. what i meant is people just do the work like a robot without no focus on results. e.g they are posting online ads - mindless like a robot
- without thinking about changing teh ad
- without thinking is this ad getting any results
we need a systematic way of resolving this MINDLESSNESS.

Actually i did have a discussion with either Daniel or Tina with this issue long time ago. And did discuss some ideas then.
1. People on bench not being not serious - For this we need a supervisor. Someone like Karim, Khukon or someone else. I remember Albert used to supervise all internal tasks. I know Daniel is busy with other stuff now, but if we get a 2nd HR guy who can supervise all bench people and their work. We need to set a target like 100 store listing on Ebay, 200 amazon contact to add each day etc. The supervisor will check if bench people is fulfilling the target. Supervisor will check few items randomly from bench people work update to see if he is doing it right.
2. Regarding tasks getting dropped, lost track - best way to use Task Manager for this. Supervisor/manager will assign tasks through Task manager. Bench employee will update task manager each day with progress(similar to Daily work update mail) and attach files when/and if necessary. So we will have record of task progress along with necessary files and other info. Later we can easily re assign the task to the next person. The new guy can easily pickup from there by reading the full communication. This way both managers/supervisors and bench people can keep them updated in the same time.
I dont think we need a 3rd party software/tool for this simple task. Another tool will just complicate the whole thing.
Let me know your thoughts in this.
